We are seeking a highly organised and customer-focused Administration Officer to join the Office of the Director.

This is a varied and rewarding role that combines front-of-house reception responsibilities with broader administrative, operational and organisational support across the Office of the Director. The Office of the Director includes marketing and communications, PMO, Legal, Risk and Compliance along with executive support for the Board and Director.</p> <p>As a key member of the team, you will be the first point of contact for visitors, staff and external stakeholders while also supporting a range of administrative functions outlined below. This role is ideal for someone who enjoys variety, takes initiative and thrives in a fast-paced environment where no two days are the same.</p> <p><strong>Key Responsibilities</strong></p> <ul> <li>Deliver a professional and welcoming reception experience for visitors, staff and stakeholders.</li> <li>Manage incoming phone enquiries, directing calls and messages efficiently and professionally.</li> <li>Provide high-quality administrative support to the Office of the Director, including coordination of meetings, events and office activities.</li> <li>Prepare meeting rooms and support the logistics of internal and external meetings, workshops and functions.</li> <li>Coordinate office supplies, stationery and catering</li> <li>Raise purchase orders, process invoices and support financial administration activities.</li> <li>Monitor and triage shared mailboxes, ensuring enquiries are responded to or directed appropriately.</li> <li>Support marketing and communications activities, including the preparation, formatting and distribution of internal and external communications.&nbsp;</li> <li>Assist in the development and coordination of promotional materials, newsletters, presentations and stakeholder communications.&nbsp;</li> <li>Maintain website and digital content updates, ensuring information is current, accurate and aligned with organisational branding guidelines.&nbsp;</li> <li>Support social media and digital marketing activities by scheduling content, monitoring engagement and maintaining content libraries.&nbsp;</li> <li>Coordinate marketing collateral, branded merchandise and communication resources for events, campaigns and stakeholder engagement activities.</li> <li>Handle confidential and sensitive information with discretion and professionalism.</li> <li>Contribute to a positive, collaborative and service-focused team environment.</li> <li>A deep commitment to safeguarding as everyone's responsibility and prioritising child safety &nbsp;</li> </ul> <p><strong>About You</strong></p> <p>To be successful in this role, you will bring:</p> <ul> <li>Previous experience in an administration, office support or customer service role within a professional environment.</li> <li>Exceptional interpersonal and communication skills with a strong customer service focus.</li> <li>The ability to build positive relationships with a diverse range of stakeholders.</li> <li>Strong organisational skills with the ability to manage competing priorities and meet deadlines.</li> <li>A proactive and solutions-focused approach with the ability to work independently and use initiative.</li> <li>High attention to detail and a commitment to delivering accurate, high-quality work.</li> <li>Experience coordinating meetings, events, logistics or office operations.</li> <li>High-level skills using Microsoft Office applications including Outlook, Word, Excel and PowerPoint.</li> <li>Experience with procurement, invoice processing or administration systems will be highly regarded.</li> <li>A commitment to supporting the Catholic ethos and values of Catholic Schools Broken Bay.</li> </ul> <p><strong>Why Join Us?</strong></p> <ul> <li>Attractive salary package.</li> <li>Opportunity to work in a supportive and collaborative team environment.&nbsp;</li> <li>Onsite parking and convenient public transport access.</li> <li>The opportunity to make a meaningful contribution to supporting schools across the Diocese.</li> </ul> <p><strong>Application Process</strong></p> <p>Applications should include:</p> <ul> <li>A cover letter outlining your interest in the role and demonstrating how your skills and experience align with the key requirements.</li> <li>A current resume.</li> </ul> <p><i>At Catholic Schools Broken Bay, child safety is paramount.
