We are seeking a highly organised and professional Administrative Assistant to support the Pastoral Team. The successful candidate will be part of the Administration Team.

<p><strong>ADMINISTRATIVE ASSISTANT TO THE PASTORAL TEAM</strong></p> <p><strong>Full-Time position to start Term 1 2025 (28 January 2025), Term Time Only</strong></p> <p><strong>Closing Date for Applications:&nbsp;18 November 2024</strong></p> <p>St Vincent’s College is seeking to appoint a committed, professional and enthusiastic Administrative Assistant to the Pastoral Team. You will be joining a team of four Deans to assist in the administration required for the pastoral care of students in Years 7-12.</p> <p><strong>About Us</strong></p> <p>St Vincent’s College is an independent day and boarding school offering a contemporary Catholic Education for girls in Years 7-12. Founded by the Sisters of Charity in 1858, and now under the stewardship of Mary Aikenhead Ministries, we are a dynamic learning community, cherishing our Catholic heritage and fostering creativity, courage, discernment and leadership in young women.</p> <p><strong>The Role&nbsp;</strong></p> <p>This Administrative Assistant role will support the Pastoral Team with the following tasks:</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Administrative support to facilitate efficient operation of the Pastoral Team</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Manage parent communications in an appropriate and timely manner</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Be a calm and reassuring point of contact for students presenting to the Deanery for pastoral support</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Generate reports for student attendance tracking and maintaining student pastoral records whilst maintaining confidentiality and privacy of student information</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Manage data entry and record keeping across a range of platforms</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Liaise with key stakeholders both internal and external to the College; scheduling appointments and meetings, producing and distributing correspondence, answering and directing phone calls etc</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Calendar management and coordination of events as required</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Ordering and maintaining resources</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Carrying out administrative duties such as typing, scanning and filing, ensuring efficient record keeping within the College information system etc</p> <p><strong>Your Background</strong></p> <p>The right candidate will:</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Have administration support experience</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Be able to establish, build and maintain a rapport quickly with students and stakeholders</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Provide courteous and professional communication with high quality written and verbal literacy</p> <p>●&nbsp; &nbsp; &nbsp; &nbsp;Highly motivated and results oriented with a positive attitude</p> <p><i>St Vincent’s College is an equal opportunity employer.
