<p>The College’s Sporting Program provides our students with an opportunity to participate in meaningful sporting activities that do much to supplement the holistic educational experience St Patrick’s offers its young men. Involvement in the Sports Program enables our students to experience and strengthen their sense of Camaraderie, Competition, Teamwork, Good Sportsmanship and School Pride whilst also providing pathways for those seeking higher representative honours.</p><p>Reporting to the Director of Co-curricular, we have a fantastic opportunity for an experienced and energetic high-level administrator to support the Co-curricular Sporting Program.</p><p><strong>Permanent full-time - Commence Monday 25 November 2024 (or</strong><i><strong> by negotiation</strong></i><strong> at the commencement of Term 1 2025)</strong></p><p><strong>Monday to Friday 8:00 AM to 4:00 PM during School term only</strong></p><p>This role will suit someone who has strong administrative support experience, loves variety and enjoys working with a close-knit team of professionals who are excited by all things Sport!</p><p><strong>Key Responsibilities</strong></p><ul><li><strong>Administrative Support - </strong>Scheduling meetings, managing communications, organising files, and maintaining records related to various programs; handling correspondence between stakeholders (teachers, students, parents) regarding events, programs, and activities.</li><li><strong>Event Coordination - </strong>Supporting the planning and execution of co-curricular events, such as training, fixtures, training, competitions, carnivals; coordinating logistics for events, including booking venues, arranging equipment, communicating schedules, and organising transportation.</li><li><strong>Budget Management Assistance - </strong>Assisting in preparing budgets and managing financial resources allocated for co-curricular activities; monitoring spending, processing payments, and maintaining records of financial transactions related to events and programs.</li><li><strong>Program Support - </strong>Helping to implement and manage student programs such as sports teams, arts and cultural clubs, debate teams, student leadership programs, and other extracurricular activities; ensuring that students have the necessary resources, materials, and information to participate effectively in these activities.</li><li><strong>Student Engagement - </strong>Promoting student involvement in co-curricular programs by assisting with communication efforts, including the creation of flyers, social media posts, newsletters, and announcements to encourage participation; serving as a point of contact for students who need assistance or guidance regarding their participation in co-curricular activities.</li><li><strong>Scheduling and Timetable Management - </strong>Assisting in the creation and maintenance of schedules for co-curricular activities to ensure there are no conflicts with academic responsibilities; coordinating with the faculty, coaches, and Managers-in-Charge (MIC’s) to organise timelines for various programs.</li><li><strong>Risk Management and Compliance - </strong>Ensuring that all co-curricular programs comply with the College’s policies, as well as any external regulatory requirements such as safety protocols or child protection guidelines; helping to manage risk by organising or coordinating appropriate supervision, consent forms, insurance, and emergency procedures for off-campus events, tours, excursions; assist with the recruitment and selection process for coaches; maintain and update coaching lists for Co-curricular (Primary &amp; Secondary School) ensuring compliance requirements are met prior to their engagement; coordinate the induction and training for coaches each season.</li><li><strong>Resource Management - </strong>Assisting in the procurement and management of resources such as sports equipment, arts materials, uniforms, and other supplies necessary for co-curricular programs; ensuring that equipment and materials are maintained and available for use when needed.</li><li><strong>Communication and Liaison - </strong>Acting as a liaison between the leadership team, staff, students, and external stakeholders (e.g., parents, event organisers, or external coaches); managing communication between the College and outside organisations when planning collaborative events, competitions, or community partnerships.</li><li><strong>Reporting and Documentation - </strong>Keeping detailed records of student participation in co-curricular activities, including attendance, performance, and any awards or achievements; assisting in the preparation of reports on the effectiveness and outcomes of co-curricular programs for leadership review.</li><li><strong>Data and Feedback Collection - </strong>Gathering feedback from students, parents, and faculty on co-curricular programs to assess satisfaction and areas for improvement; assisting in the collection and analysis of data to measure student engagement and the impact of co-curricular activities on overall student development.</li><li><strong>Professional Development Support - </strong>Assisting in organising training or development workshops for staff involved in co-curricular programs, such as coaches and MIC’s; supporting leadership in ensuring staff are equipped to provide high-quality extracurricular opportunities to students.</li><li><strong>Recognition and Awards - </strong>Helping to organise recognition ceremonies, awards events, or other initiatives that celebrate student achievements in co-curricular activities.</li><li><strong>Promotion of Co-curricular Programs - </strong>Assisting in the promotion of co-curricular programs through various channels, such as the College’s website, social media, or community newsletters; assisting to highlight the benefits and success stories of students who participate in these programs to increase engagement.</li></ul><p>To be successful in this role you will be able to demonstrate you satisfy all of the following essential selection criteria:</p><p><strong>Essential Criteria</strong></p><ul><li>Commitment to the Catholic ethos of a School in the Edmund Rice tradition.</li><li>Demonstrated understanding of appropriate behaviours and professional boundaries that reflect child safeguarding values in practice.</li><li>Proven experience (ideally 2&#43;
