We are currently on the search for a talented and passionate Music Administration Assistant to support the Music Department in a Part Time capacity.

Santa Maria College promotes the safety, wellbeing, protection and inclusion of all children and young people.</p><p>At Santa Maria College, our vision of One Community, Three Villages embodies our commitment to educate young women now and into the future.</p><p>Reporting directly to the Head of Music, the Music Administration Assistant will be responsible for assisting with the administrative tasks required in providing exemplary music experiences, events and opportunities for students at the College. This role is an Ongoing Part Time position with flexibility of days and hours to be mutually agreed.</p><p><strong>Role Responsibilities</strong></p><ul><li>Respond to parent and student queries regarding the College’s Music program.</li><li>Manage upcoming school-wide events.</li><li>Manage room allocation and bookings for lessons and Instrumental Music Teachers and student use. </li><li>Establish and maintain a database of students undertaking instrumental music lessons and student performance groups such as choirs, bands and ensembles. </li><li>Publish reminder notices regarding rehearsals in SIMON (LMS). </li><li>Support Instrumental Music Teachers with class attendance passes (SIMON LMS) for students required for instrumental lessons and events (if required). </li><li>Monitor completion of Semester reports, and proofread and collate as required. </li><li>In collaboration with Director of Music organise and minute Music Department meetings. </li><li>Coordinate and attend Music events such as Soirees, Music Camp and Annual Music Concert, and provide regular progress updates to the Director of Music. </li><li>Liaise with Marketing Department to showcase the Music Department and events.</li><li>Process entries for AMEB, and other examinations and competitions.</li><li>Educate Instrumental Music Teachers on Daily Roll Marking, Instrument Hire and College Policies and Procedures.</li><li>Maintenance of staff and student notice boards — Music Calendar, event posters and social information, student photos</li><li>Processing of timesheets submitted by Instrumental Music Teachers for payroll. </li><li>Ensure students (via parents) have paid for music tuition. </li><li>Liaise with Finance regarding unpaid accounts, enrolment and discontinuations, and repair costs. </li><li>Establish and maintain an up-to-date inventory of all music resources and perform an annual stocktake of resources. </li><li>Coordinate hiring of instruments for students and repairs when required. </li><li>Provide support with the distribution of musical equipment to students </li><li>Creating and sourcing appropriate resources for music lessons, ensembles and performances. </li><li>Organise storage of equipment and instruments</li><li>Organise and maintain instruments by taking to and from repair shops.</li><li>Photocopying, sorting and storing music. </li><li>Perform any other duties/responsibilities as required by the Principal</li></ul><p><strong>About you</strong></p><ul><li>Current WWCC </li><li>Demonstrated ability to establish positive and effective working relationships with staff and students;</li><li>Effective collaboration skills;</li><li>Strong organisational and time management skills, with an ability to prioritise tasks, meet prescribed deadlines, and concurrently manage a number of competing tasks.</li><li>Strong Attention to Detail</li><li>Excellent ICT Skills with proficiency in programs such as Google suite and SIMON</li><li>Excellent verbal and written communication skills including grammar, spelling and punctuation</li><li>Proactive approach to problem-solving</li><li>Music Knowledge (preferred)</li></ul><p><strong>Benefits</strong></p><ul><li>Enjoyable and friendly work culture with a great team environment;</li><li>Employee Assistance Program to support mental health &amp; wellbeing</li><li>Smart Salary Packaging available</li><li>Use of School Gym</li><li>Staff Functions, Celebrations and Events</li><li>Commitment to Personal Development relevant to your role</li></ul><p>If you think you have the right skills, values and passion that align to Santa Maria and looking to take the next step in your career, please review our full position description below and apply now by completing the attached Application Form alongside your resume and cover letter to <a href="mailto:christie.alki&#64;santamaria.vic.edu.au." rel="nofollow">christie.alki&#64;santamaria.vic.edu.au.</a></p><p>We encourage you to visit our website for further insight into who we are at Santa Maria College. <a href="https://www.santamaria.vic.edu.au/" rel="nofollow">https://www.santamaria.vic.edu.au/</a> </p><p><i>Please get your applications in early.
