Administrative Assistant to the DP Staff and Compliance

<p>Kolbe Catholic College is seeking a dedicated individual for the role of Administrative Assistant to the Deputy Principal (Staff). As a crucial member of our team, you will provide essential service support and assistance while adhering to the college's policies and procedures, ensuring a high level of confidentiality. This role requires initiative, resourcefulness, and the ability to make decisions in alignment with the Deputy Principal (Staff)'s specific wishes.</p>

<p><b>Responsibilities and Specific Duties:</b></p>
<ul>
<li>Provide administrative support to the Deputy Principal (Staff).</li>
<li>Manage and maintain the Deputy Principal (Staff)'s diary/calendar with discretion for optimal operation.</li>
<li>Prioritise issues requiring immediate attention.</li>
<li>Prepare paperwork for appointments, meetings, and files for various stakeholders.</li>
<li>Assist in correspondence preparation and manage documents for distribution.</li>
<li>Conduct necessary research for the Deputy Principal (Staff).</li>
<li>Develop presentations and printed material as required.</li>
<li>Coordinate approval of staff professional development, bookings, and related processes.</li>
<li>Support Human Resources processes, including recruitment, onboarding, and offboarding.</li>
<li>Oversee staff return-to-work processes and compliance tasks.</li>
<li>Monitor attendance at training sessions and maintain up-to-date records.</li>
<li>Coordinate delivery of training with external providers, if necessary.</li>
<li>Demonstrate initiative and innovation in improving office systems.</li>
<li>Attend out-of-hours functions, meetings, and ceremonies as required.</li>
</ul>
<p><b>Other Duties:</b></p>
<ul>
<li>Reception and Student Services cover during absences.</li>
<li>Other administrative duties as required and negotiated with the Principal, Deputy Principal(s), Business Manager.</li>
<li>Attend non-teaching staff and team meetings as required.</li>
</ul>
<p><b>Position Classification:</b></p>
<ul>
<li>Education Support Officer - Category C, Level 2</li>
</ul>
<p><b>Key Criteria:</b></p>
<ul>
<li>Current National Criminal Records Check and Working with Children Check Card.</li>
<li>Current Level 2 First Aid Certificate (desirable).</li>
<li>Effective planning and organizational skills with the ability to manage multiple deadlines.</li>
<li>Excellent interpersonal and communication skills.</li>
<li>Professional telephone and customer service etiquette.</li>
<li>High level of literacy, numeracy, and information technology skills.</li>
<li>Ability to work independently and within a team environment.</li>
<li>Maintain the highest levels of confidentiality.</li>
<li>Commitment to the value and ethos of Catholic education.</li>
