Applications are invited from suitably experienced persons for the part time 0.48 FTE ongoing position of Administration Officer – Finance to commence January 28 2025. This is an Education Support Employee Category B Level 2 position in accordance with the Diocese of Sale Catholic Education Limited Secretariat Agreement 2022. School holidays provided. Salary packaging arrangements are available.

<p>The role of the Administration Officer; Finance  is to work with the principal, colleagues, secretariat and parents/caregivers to foster effective relationships with all community members. The successful applicant will be responsible for the overall Finance of the school both related to Budgets and working with families to meet their commitment to pay the annual school fees. They will also work closely with DOSCEL and the Finance and School Fees teams to ensure that the school manages the area of Finance and Fees effectively. In addition to Finance the applicant will work closely with the Principal and colleagues to ensure a Child Safe environment and that the school meets its commitment and obligations towards this. </p><p><strong>KEY SELECTION CRITERIA:</strong></p><ul><li>A strong commitment to Catholic Education</li><li>Excellent interpersonal and communication skills</li><li>Extensive administration experience</li><li>Experience in financial procedures including accounts receivable and accounts payable</li><li>Sound knowledge of relevant accrual accounting practices</li><li>Advanced computer skills and knowledge including experience in financial programs, Microsoft Word,<br />Microsoft Excel and Internet Application</li></ul><p><br /><strong>OTHER ATTRIBUTES REQUIRED:</strong></p><ul><li>Strong organisational skills and ability to manage time effectively</li><li>Ability to prioritise work</li><li>Friendly and approachable manner</li><li>Ability to work as part of a team whilst still accepting responsibility for your own tasks.</li></ul><p><strong>CONDITIONS OF EMPLOYMENT:</strong></p><ul><li>The appointment will be subject to a satisfactory National Police Record Check and Employee Working<br />with Children Check.</li><li>Employment is conditional upon compliance with St James Primary School Child Protection<br />and Safety Policy and Child Safety Code of Conduct, and any other policies or procedures relating to<br />child safety.</li><li>First Aid qualifications or a willingness to undertake First Aid training.</li></ul><p><strong>QUALIFICATIONS AND EXPERIENCE:</strong></p><ul><li>A relevant qualification in Administration, Business or a related field would be an advantage, but is not<br />essential.</li><li>Experience with financial or bookkeeping functions.</li><li>Experience in a school environment would be an advantage but is not essential.</li></ul><p><strong>DUTIES:</strong></p><p><strong>Undertake administrative duties of the school office including:</strong><br />Provide informed and friendly customer service to all students, parents/guardians and wider<br />school community<br /> Ensure school visitor processes are followed in line with school policy and Child Safety<br />requirements as required<br />Provide administrative assistance to the Principal as directed<br />Provide administrative assistance to school staff as directed by the Principal<br />Attend to ill students and administer first aid as required <br />Other duties as directed by the Principal</p><p><strong>Undertake the accounts receivable function for the school including:</strong><br />Receive and receipt monies payable to the school enduring appropriate cash handling and<br />banking procedures are maintained<br />Generation of all invoices including school fees, associated charges and sundry items<br />Preparation and maintenance of school fee direct debit schedules<br />Administration of the application processes for Camps, Sports, Excursion Fund (CSEF), Conveyance Allowance and other applicable grants<br />Administration of school fee concessions<br />Administration of school fee debt collection</p><p><strong>Undertake the accounts payable function for the school including:</strong><br />Processing of invoices for purchase of supplies for the school</p><p>Payment of invoices in a timely manner</p><p><strong>Preparation and maintenance of school financial records including:</strong><br />Ensuring Fringe Benefits Tax return is lodged and applicable follow up completed<br />Review and lodge monthly Business Activity Statement<br />Enter data for bank reconciliations on a weekly basis for the general bank account and a monthly basis for all other school accounts including Parents and Friends account, credit card and, if applicable, term investments<br />Maintenance of school asset register<br />Collation of financial documents for annual financial reporting and external audit.</p><p>Applications emailed to Mrs Rebecca Kollaris - <a href="mailto:principal&#64;stjamesnng.catholic.edu.au" rel="nofollow">principal&#64;stjamesnng.catholic.edu.au</a> </p><p>Applications close: November 25 2024  unless a suitable candidate is appointed before this date.</p><p>This school community promotes the safety, wellbeing and inclusion of all children.</p><p> </p>
